I agree to work with your school's leadership. Informational meetings are great, maybe you could be a guest at a parent group meeting (PTA, PTO...)
We sent flyers out to all families through the schools, with approval of the superintendent, in our town & got a good response. Also try contacting your health/fitness activity leaders. Our staff partner provided the flyers for us. They had a HOPE luminaria picture with a brief description of what Relay For Life is, event & contact information.

I would recommend you start at the top first. Go to the superintendent or whoever is 'in charge' of your schools and get their support. Set up a meeting and bring as much information as possible and bring whatever media (DVD, video) you have to get that person involved.
If you send a letter to the schools, chances are it will sit in someone's inbox for several weeks or months before they get curious enough to open. Plus who do you send it to?
We had 100% registration of our schools the last two years. The person who pulled this off almost never sent letters. And our superintendent won an award for his involvement. Start at the top.
At the very least you'll find out what the best way to distribute information to the schools and who the best person at each one to contact is. Hopefully, they will partner up with you and do a lot of your leg work.
Good luck!
