I think blog is sort of like a diary or journal entry.  So I will use it like it is.  This is my first year as an Event Chair - Professionally I am an HR Recruiter, so my Event Chair is Recruitment (go figure).  I love the computer and seem to think that I will be very sucessful with utilizing emails for the majority of the contacts.  I have taken an excel speadsheet and created an access database and have linked the Team Captains with the Participants on thier teams.  I started out using the captains and participants from 2008, I have since been given a spreadsheet going back to 2005.  After transfering all the data into the Access database, We now have 125 past team Captains and 1206 past participants, we also have record of what year or years they have participated.

I have created two letters one for Team Captains and one for Participants.  Below is the Team Captains and the Participant is similiar.

It seems like we just ended our 2008 Moreno Valley Relay for Life.  However, we cannot stop fighting for the cure until we have a cure.  My purpose for this letter is to let you know it is time to begin building our teams for 2009 Moreno Valley Relay for Life.

Our records show you were a Team Captain for Team “«Team_Name»” our relay would not be the same without you in 2009. 

This year we have adopted a slogan “2009 Moreno Valley Relay will shine”.  Will you help us to shine and return as Team Captain?  If so please, email Liz Williams at RecruitMVRelay@cs.com.

If you have family, friends our co-workers that would like to join us as Team Captains or Participants, please feel free to forward this email and information will be emailed to them letting them know how they also can help us fight for a cure of this horrible disease called “Cancer”.

You will receive additional information in the near future, and we will pick up the torch and “Celebrate, Remember, and Fight Back”.  Simply reply back to the email and let us know you are on board!

After our first committee meeting, this letter will be emailed to Team Captains and we will be on our way to building our teams.  There will be another letter drafted to recuit new Team Captains and Participants.  I have set a goal of 100 new Team Captains and 1000 New Participants.  There is a University Relay Coming up in October, I utilized evite.com and sent 500 invites (that is the limit).   As I am around and about my city, I am collecting business cards from Companies, Banks, etc I will be targeting Presidents, HR , Mgrs or anyone who has influzence  with employees and can help us build teams within thier company. I would like to see samples of letters that some of you may have used to send to companies.  I will keep you posted through my blog on our progress. Mz Liz
