I am thinking of doing a bbq fundraiser at my families vineyard where families can spend time walking through the grapes, have a hot dog and support a great cause. The problem is I have never organized this big of a fundraiser before. Anyone have any advice??
My first ideas are to have team members get together and buy the hot dogs, buns, chips and drinks. In order to get more people there I was going to say "free will donation". I was going to make flyers and hand them out to co-workers, community members, etc. I am wondering if we should have activities planned, etc.
Absolutely have at least one activity planned, ie an introduction to what Relay is (if needed) or a welcome statement directing them to a table with Relay info, a short luminary ceremony if appropiate (the empty table is short/easy & you bring the signed table cloth to display at your Relay), read a mission statement, or even just a conclusion thank you with an ask for new team members or committee volunteers reminding them of the date, location, time, etc. Also, try to get a free announcement in your local paper (this takes advance notice and a Public Relations Chair-if your Relay doesn't have one find out who the PR person for your ACS Division is and have them ask for publication), chamber website/calender or another good website is a community events calender, have your online chair post it on the event website, email an invitation to your friends and ask them to forward to their friends/co-workers.

Our team hosted a chicken bbq fundraiser last spring for relay. It was a huge success. We asked each team member to donate something (rolls, margarine pats, styrofoam take out containers, soda, grandma browns beans, and salads). We only had to purchase the chicken. The chefs donated their time and we sold about 125 bbqs in a couple of hours and made about $300 profit.
You can ask a few of your local grocery to donate the items. if they won't or can't you could also see if they would give you a discount on the purchase of the items. Then you could just ask each team member to donate so much money to help pay for the items that you need.
