This is the first on what we hope will be continuous growing document where we will be able to post information for thoughts and comment on the Relay. 

I hope we can keep a fluid communication process going to make this Relay the best ever!

Date Correction!

Our next  committee meeting is not on April 8th! 

 The next committee meeting is on Tuesday, April 15th at 5pm in the ACS office.  I apologize for the confusion.  Thank you!


Committee Meeting Minutes from 2-12-08

 

 Site Layout

  • We are at Rivercrest Park again, but some changes will be made to the layout to make it more efficient and effective overall. 
  • These changes will make it easier to run power everywhere that needs it and they will make it easier for those at the Welcome Tent. 
  • We are making the campsites more spread out this year.
  • The survivor dinner is moving into the shelter house.
  • More updates will come once the weather clears and we can go check out the park.

 Pre-Event Updates

·        Bassetts

o       We are not approaching them for a shopping spree again this year, but Bob will be talking to them about selling suns and moons to benefit Relay.

·        Bike Run

o       Is set for June 7, 2008. 

o       Last year there were 52 bikes involved, this year they are trying to increase the number. 

o       Bob is working with Casa Barons and Harley on this event. 

o       More information will come as it gets closer.

o       The beer tent fundraiser is still up in the air, we are first on Harley Davidson’s list of where to donate money from a charity event.

·        Relay Rally/Kickoff (the new Chili Cookoff)

o       March 13, 2008 – Cornhole Tournament

o       The tournament will be $10 a team with a time limit.

o       We will borrow boards for the event. 

o       There will also be tables set up with Relay information.

o       Look into boxing decorations, as well as other events and food for the event. 

o       Possibly including a wii tournament or other games.

o       Teams will be provided the opportunity to do an on-site fundraiser and sell tickets.

o       Still taking suggestions on how to make this fun for all and a success.

·        Style Show

o       Sandi is working on getting a style show together for Tuesday, May 13 in the evening.

o       She has been working with Judy at Elegant Rags and the Caranoor Club.

o       There would be a light meal provided in addition to the style show.

o       We would need donations for raffle prizes, baskets, etc.

o       Try to incorporate the theme of “Knock Out”

o       Sandi is checking on the best way to register/buy tickets for the event; the ACS call center is confusing so it may be best to have people call Bob or Elegant Rags.

o       $35 a ticket is what she was thinking.

o       We would need to work on marketing materials and spreading the word.

·        Daffodil Days- Don’t forget about them!

 Committee Reports

·        Vickie will be taking over as our food chair, Maria stepped down.  She will get notes/ideas from Marcie and be working with Donna.

·        Melissa may have found a new team!  The mother’s of twins club in Toledo may be forming a team.

·        Jessica will contact those teams talking about not participating due to not having a team captain to see if they would like to join another team. 

·        We need to form a clean-up committee for the next day! 

·        We still need an entertainment and team development chair!

·        Some entertainment ideas were line dancing, volleyball nets, athletic events, martial arts demo, massages, Sweet Adelines, aerobics

·        Angela is our new luminaria chair!  She will be meeting with Bob and Jessica to talk about new ideas for this year.

·        Jessica will try to contact Patrice Brock the old team development chair to see if she is interested in returning. 

 The next meeting is on Tuesday, April 8th at 5pm.Please stop out at the event on March 13 at the Junior High School’s auxiliary gym and watch your email for updates!  Next meeting we will be watching a short Relay video and discussing theme laps.  Thank you!!

Perrysburg Relay For LifeCommittee Meeting Minutes from 1-5-08 

1. Committee Positions

    1. We do have open positions, please contact Bob if you can think of anyone who would like to join
    2. New committee member: Melissa Sawin, who was a participant last year will be helping out this year.
    3. Deb Buker has committed to be the PR chair this year! 
    4. Jessica will email everyone a committee contact list.
    5. Please let Jessica or Bob know if you’re interested in doing something different this year. 
    6. Positions still open: Entertainment, Team Development, Logistics, Ceremonies, and Luminaria.  We need people!
    7. Deb will be running something in the Messenger about needing committee members.
    8. Ceremonies: Maybe try to find a prominent sports figure to speak at opening in coordination with our theme, “Fight Back…Knock Out Cancer!”

 

2. Rivercrest Park

    1. Bob had some ideas about moving things around this year, having the survivors under the shelter house and moving the welcome tent.
    2. The site logistics is tabled until the next meeting.  Bob is going to get some measurements so bring your ideas to the next meeting!

 

3. Chili Cook off

    1. Jessica will call all past team captains to see if they are interested in doing a Chili Cook off
    2. Looking at 3 dates: February 26, March 4, or March 17

 

4. Don’t forget about Daffodil Days!!!

    1. Information about Daffodil Days will be in the paper
    2. Teams that are registered online will be listed in the paper to contact for daffodil sales…so register online!  Contact Jessica or Bob if you need help!
    3. Jessica will let teams know when she calls them about the Chili Cook off about their opportunity to be in the paper and to talk to businesses having a daffodil fundraiser

 5.     Our next meeting is February 12, at 5pm in the ACS office!  Relay is only a few months away, please come and help plan!!!


Relay Updates!

Happy New Year Everyone!  I hope you all had a wonderful holiday season and are ready to go for the 2008 Perrysburg Relay For Life!  Just a few updates...

 There is a team captains meeting on Saturday, January 5th at 9am in the ACS Office.

Daffodil Days are nearing again!  Please contact Jessica Deuschle for a packet.

Remember to start fundraising early!

DATE CHANGE!

Due to scheduling conflicts at the office the January and February committee meetings have been moved to Tuesday, January 8th and Tuesday, February 12th at 5pm in the ACS Office. Thank you.


Committee Meeting Minutes from 10-30-07

1. Committee

  • Please let Bob or Jessica know of people you think would be good on the committee.
  • We do need a team recruitment chair as well as an entertainment chair.

2. Meetings

  • 5pm is a good time for everyone.  (Please notify Bob or blog it if this is not a good time for you)
  • Holding them at the office is also good for everyone.
  • We are keeping meeting limited to about a half hour because we know everyone is busy.
  • Meeting minutes will be emailed out and posted on the Relay blog.
  • The Relay blog is an ongoing conversation, something like a private chat room.
  • To access the blog to post comments or read other people’s ideas

3.      type Perrysburg in the search bar and click enter (it is in the top right of the page right under the picture of the kids in a circle)

 3. Kick Off

  • We are having a kick off to get teams going before the first of the year.
  • Looking into holding it at East of Chicago Pizza in Levis COmmons on 11/19/07.

 4. Teams

  • Limit teams- teams are supposed to only have 10-15 participants so we are looking into limiting the team size and having the larger teams for 2 different teams.
  • Every email sent out asking for donations receives on average a little more then $10, so we want to reward team members that send out 20 emails.
  • Looking into getting donations from Pizza Hut, Vito’s, or Dominos for these rewards.
  • Team banners- looking into making banners to recognize teams for their participation (much like the Boy Scouts)
  • We are in the Holiday Parade!  We need volunteers to walk!  Jessica will email past team captains and participants to try to get a large group to represent Relay.

  5. Newsletter Topic for November

  • If you did not get a newsletter and would like one please let Jessica know. 
  • Topic Ideas: Fundraising ideas, stories about Relay, what to bring to Relay, schedules…
  • Send it to all past participants to let them know about the kick off.
  • Once participants register they will be included in the monthly email list.

 6. Theme

  • Fight Back!  Knock Out Cancer – This would incorporate a sports theme throughout the night for games and theme laps.  Focus on playing Rocky music and getting people pumped to fight back against the disease that takes too much.

 7. Website
