Hi All- Does anyone have any thoughts on an organized way to sell Lum onsite, so that they don't get misplaced or not on the track? We've tried a few methods at my event, but haven't quite seemed to find the easiest way. Thanks!! Kate Haddon Twp. RFL

Selling Luminaria Onsite

Tracy Stourac Relay For Life of Elmhurst Illinois Event Chair

When you sell them hand the bag to the person purchasing the luminaria have them customize and place on the track themselves.

One way to sell

What you can do is sell luminaries on sit and have the people that are buying them decorate them have them personalised them with like a pic of the person. Or you can have people who have lost people with cancer decorate them if they don't want to walk.

Luminaria sales

We have luminaria sales next to our registration/check-in area.  We have someone staffing it up until the start of the luminaria ceremony and make lots of announcements about sales throughout.  I find that once we start putting a few out on the track people really start coming over and buying them.  If you can get a youth group to volunteer to help with the setting up of the luminarias it really takes the stress off.  I find that having a centralized area where we can send people really helps.  It's also nice because you can keep all of your items there (bags, sand, candles) and make them as people buy them.

As far as organizing them alphabetically- that has never worked for us.  It just gets too complicated- last year we lined the track twice, so it would have made it very difficult.  I think that not alphabatizing them makes people really take time and walk around to see the names of all the people that cancer has affected.

Organize, organize, organize

I use the concession stand at the highschool where we have our relay, I always offer to let the people fill out or decorate their own bags(get lots of cheap markers at the dollar store,). after the forms are filled out, they go into one of two folders, "to be done" and "done". the bags go immediately to the "Fillers"(high school kids, mine are usually ROTC they are the BEST!!), right next to the concession, if the bags travel far they may get mispalced. The kids fill the bags and alphabetize the bags according to just the first letter of the last name. We had problems with people not being able to find their bag, the alphabetizing seems like alot of work but it was worth the saved headache. We had almost 2000 luminaria last year and not a single complaint!

Luminaria sales

Our event starts at 6pm...we open our Luminaria sales no later than 5 pm and sell them practically up to the start of the Luminaria ceremony.  We have ample people selling.  When someone buys a luminaria we give them the option to put them on the track themselves, sometimes they have others out there, or we place them immediately in an open part of the track.  We have never had a problem doing it this way...hope it helps.

Luminaria setup onsite
agree with the previous poster - a tent/luminaria sales area is essential - get lots of volunteers, too to take orders and talk to those who want luminaria, and also to set them up. Lummi help
I remember my first time....it didn't go so well either. The best way i found is to set-up a lummi tent/ area. In the tent you'll have someone selling the bags, someone decorating [ or some relayers like to decorate their own] and someone to fill and place the bags in an "off-limits area" I also waited until about 45 mins before the ceremony to place the bags...to make sure that non wonder off. I hope this helps!
